Creating A Mailing List In Outlook 2007

Microsoft Outlook is the most popular email manager program in the world and it got that title due to various features embedded with the program. A distribution list or mailing list is one of such features and the main use of the distribution list to help the users send an email to multiple senders. Here we discuss how to create a distribution list in the Outlook 2007 email client.

Instructions

  • Launch the Outlook email manager program by double clicking on its icon found in the desktop. When the application window appears on the screen, click on the File tab located at the top of the window.
  • Click on the New tab found in the drop down menu that appears on the screen and then on the option labeled as Distribution List found in the context menu that appears on the screen.
  • A window labeled as Untitled Distribution List will now appear on the screen, type in a name for the distribution list by typing it in the text box found next to the option labeled as Name.
  • Now the program gives you two options, either you can exit the newly created mailing list or distribution list by clicking on the Save & Close button or you can start configuring the distribution list by adding contacts to the list from the Outlook address book.
  • If you choose the second option, click on the button labeled as Add New for adding a contact manually; fill in the details of the contact in the required fields. However, if you wish to add multiple contacts from the Outlook address book, click on the Select Members button found in the window. 
  • When the window shows you the address book, select the people that you would like to add to the new distribution list. After you have added all the contacts in the mailing list, click on the Save & Close button for saving the changes and to exit from the setup window.
Now you have created a mailing list in the Outlook program installed with your computer; you can now send emails to the multiple contacts easily using the distribution list now created. For adding the distribution list to the contact, click on the Address book button and then on the drop down menu found under the heading 'Address Book', which will open up the contacts. From here, you will be able to select the list you created easily.

How To Create A Backup Of Outlook Address Book

The major email clients from Microsoft, Outlook and Outlook Express have many features loaded in them. These features have helped them to be listed among the top email clients in the world. While you can find Outlook with Microsoft’s Office Suite program, Outlook Express is available as a default email client in Microsoft operating systems like Windows XP.
Both Outlook and Outlook Express have an address book in it. You can save your contacts and addresses in it, which you can view even if you are offline. Another advantage of saving the addresses in the address book is that you can take a backup of it at any point of time. In this post, we will help you to take a backup of Outlook address book. You have two options available to take the backup. Either backing up from the registry of your computer or exporting the Address book from the email program.

Backup from Registry
  • Open the Start menu by clicking the Windows logo on your desktop.
  • Choose the option Run, which you will find in the right pane of the Start menu.
  • In the Run window, enter regedit and click OK.
  • The above step will open the Registry Editor window. 
  • In the Registry Editor window, go to the location HKEY_CURRENT_USER\Software\Microsoft\WAB\WAB4\Wab File Name.
  • When you find the address book file, right click on it and choose the option Copy.
  • Go to another location in your computer and right click. 
  • Select the option Paste and this will create a backup of the address book in your computer. 
From Outlook program
  • Select the option Start and go to All Programs.
  • Choose Microsoft Office and select Microsoft Outlook.
  • Once the program comes up, press the keys Ctrl + Shift + B together.
  • The above step will open the window for Address Book: Contacts. 
  • Select the option File and then Export.
  • Choose Address Book WAB. 
  • Select a location to save the file in your computer. 
You may follow any of the above methods to backup Outlook address book file. Keep in mind that Outlook Address book is regularly updated as and when you add a new contact to it. Therefore, it is advised that you repeat the backup process regularly. Tips To Add New Contacts In Outlook Express

Microsoft took a different approach when they designed the Outlook contact book. Microsoft shaped up the Outlook Express in such a way that the; once you send a mail to a particular contact the email address will be automatically stored on to the address book. This feature in the Outlook Express will allow the user to access the stored email addresses for a second time from the Outlook Express address book. A different plus point of this program is that a user won’t have to type in a mail address repeatedly as the Outlook auto-completes the email address when the user types in the first few letters of the same.  This will also help users to avoid spelling errors while entering the email address in a hurry. Instructions

Using Messages
• Pick out a “mail folder” from the “Outlook Express folders list”.

• Go to the "Messages" tab and right click on it and get the sender's name from the "From" tab.

• Tag along "Add Sender to Address Book" tab from the menu.

Using Address Book

• Hit on the "Tools" tab and move towards the "Address Book" tab. Later hold on the "Control", "Shift" and "B" to bring on the Outlook Express address book.

• Opt for the "New" tab from the “File” tab and pave way to the "New Contact" tab

• Now tag along the "Control" and "N" keys on your keyboard to add up a new contact.

• Enter all the relevant information’s including name, mail address and phone number as well as birthday.

• Trigger the "OK".

Using File Import

• Pick out the "File" tab from the Outlook Express menu bar and track along to the "Import" tab.

• From the import tab, access the "Address Book" and select the "Other Address Book" to pick out a suitable format to the contact.

• Import a contact by accessing the "Open" tab from the “Files” tab to bring up the "Import" window.
